Data Retention and Deletion Policy

How long Advigator keeps each kind of data, and what happens when you leave.

This policy is part of the Master Services Agreement and of the Data Processing Agreement. It states how long we keep data and how deletion works.

1. Retention schedule

Data Retention Why
Account and user profile data Independent-controller account records: account life plus 90 days after operational closure; customer-directed records follow the exit schedule below To allow reactivation and to resolve disputes shortly after departure
Advertising campaign configuration, bid and budget rules, keywords, targets, negatives While the service is active, then through the exit and deletion schedule below Needed to operate the Services
Advertising performance reports imported from the Advertising Platform Rolling 24 months, then deleted Service delivery and historical reporting
Change history of actions taken in advertising accounts 24 months Lets customers audit what the platform did on their behalf
Authentication and security logs (sign-in events, IP addresses) 12 months Security investigation
Session records 90 days of inactivity, then expired and removed Session management
Support conversations 3 years after the last message Continuity of support and dispute resolution
Invoices, payment records and accounting documents 10 years Mandatory under Italian law (Article 2220 of the Civil Code and tax rules)
Record of acceptance of the terms Life of the account plus 10 years Evidence of which contract version applies
Product analytics events 12 months Product improvement
Application error reports 90 days Debugging
Database backups Rolling 7 days after deletion from production, subject to documented legal holds Disaster recovery
Marketing contact data Until you object, or 24 months of inactivity Direct marketing to businesses

Where two periods conflict, the longer statutory period wins and the data is restricted to that purpose only.

2. Amazon data

The Amazon Ads Partner Network Policies require that Amazon data is not cached, stored, archived or retained beyond what is needed to provide the approved functionality. The 24-month windows above are set for that purpose: they support the service’s historical reporting. They are not an authorisation to retain data beyond applicable platform restrictions or the Customer’s lawful deletion instructions. Where we are legally required to keep Amazon data longer, it is kept securely, used only for that legal requirement, and permanently deleted when the requirement ends.

3. Deleting your data while you are a customer

You can delete campaign groups, keywords, targets, negatives, products and reports from within the dashboard at any time; the deletion propagates to our database. Advertising objects that exist in the Advertising Platform must also be removed there, and the platform remains their system of record.

To request deletion of specific personal data, write to legal@advigator.com.

4. Closing an account

  1. Notice and transition. Follow clause 12 of the Agreement. The switching notice is no more than two months; the ordinary transition is 30 calendar days. Technically justified extensions, a shorter period requested by the Customer and the Customer’s one-time extension right are governed by that clause.
  2. Retrieval. A separate 30-calendar-day retrieval period follows the transition. Request an export at legal@advigator.com if normal dashboard access has ended.
  3. Deletion. After retrieval, or an explicit request for erasure instead of switching, Customer Data is deleted from production within 30 days. Backup copies expire within a further 7 days, subject to applicable legal retention duties. Independent-controller account records may remain for 90 days after operational account closure, but that period does not authorise keeping campaign content beyond this deletion schedule.
  4. Exceptions and confirmation. Invoices, contract evidence and records subject to a documented legal hold are retained only for their permitted purpose. We confirm the scope and completion of deletion on request, identifying any lawful exceptions and outstanding backup expiry.

Operational account closure means the end of normal account service, not the end of retrieval. Retention windows run independently for each data category; they are not cumulatively added. Lawful data-subject requests and shorter binding platform requirements can require earlier erasure.

Disconnecting Advigator from your Amazon Ads account does not delete the campaigns themselves. They continue to exist and to spend in the Advertising Platform until you pause or remove them there.

5. Backups

Backup copies are restricted to recovery and expire on the schedule above. If a backup is restored after an incident, previously completed deletion requests must be reapplied before the restored data returns to ordinary use. Backup expiry is distinct from deleting a record in the application and does not describe copies retained independently by Advertising Platforms.

6. Anonymised and aggregated data

Aggregated statistics derived from customer data, as described in clause 4.2 of the Agreement, no longer identify any customer, user, product or end customer. They are not subject to this schedule and are retained for as long as they are useful for the permitted purposes in clause 4.2. We do not attempt to re-identify them.
